On-Campus Part-time Job Hiring Process for Departments

If you’re part of an on-campus department, create an account in Handshake to add, edit and delete postings for wage account part-time jobs.

Review the Student Employer Hiring Manual for On-Campus Departments (PDF) to understand hiring policies and procedures.  If the student employee is under the age of 18, you will need to obtain a work permit to employ a minor.

Hiring Checklist

  1. Offer the student the position, send offer letter, and notify candidates not selected.
  2. Collect the student’s offer letter
  3. Submit hire request using the Online Student Hire Application
    • The “Start Date” should be the anticipated day the student will begin working, remember to allow enough time to process the background check and I-9 Form completion. Start dates will be changed by Student Employment if the date selected is before the background check and I-9 form is completed.
    • Attached scanned copy of the offer letter.
  4. Do not allow the student to start working until you receive notification from “Oracle Systems” that the hire is complete. The employee’s information will load into Kronos the day after hire completion; secondary positions will not show up until the employee clocks in for the first time.

Systems Access
