Federal Work Study Hiring Process for Employers

The process varies for on-campus employers and off-campus organizations that wish to hire a student with a Federal Work Study award.

On-Campus Departments

Hiring a FWS Student

Follow this process to hire a Federal Work Study (FWS) student if you’re an office or department on campus:

  1. Review the Student Hiring Manual for On-Campus Employers (PDF).
  2. Fill out the Federal Work Study Participation Agreement for On-Campus Employers (PDF). Submit it to us in person in Marvin Center 505 or email it to us at fws@gwu.edu. Please submit a job description for the position with the agreement as well. All staff in your office who will be managing Federal Work Study students need to review the agreement and understand the program requirements. A new agreement needs to be completed each year and a job description should always be on file even if you’re rehiring a student from the previous year.
  3. You will receive a confirmation email from us when you’re approved to be a Federal Work Study supervisor. Most campus departments are eligible, but some restrictions do apply.
  4. Post the job(s) you have available in Handshake. More information coming soon. 
  5. After you’re approved, confirm that you have access to the Online Student Hire Application (OSHA), the platform that will allow you to send a request to hire a student employee.

Extending an Offer

The level of the position, taking into account the skills necessary to perform a specific job, determines a student's pay rate. All student employees must be paid at least the District of Columbia's minimum wage. Also, if the student employee is under the age of 18, you will need to obtain a work permit to employ a minor.

Complete these two steps to extend an offer:

  1. Complete Section II of the Employment Authorization Form (EAF), which can be obtained by the student who you are offering the position to from GWeb. The student is required to complete Section III.
  2. Attach the Employment Authorization Form (EAF) to the Online Student Hire Application request.

Off-Campus Organizations

Hiring FWS Students

If you’re a local nonprofit, government agency or community service-based organization that has been approved to hire GW Federal Work Study students, please follow this process for hiring:

  1. Review the Student Employer Manual for Approved Off-Campus Organizations(PDF) to understand the process and requirements.
  2. Fill out the Federal Work Study Participation Agreement for Off-Campus Organizations (PDF). Email it to us at fws@gwu.edu. Off-campus organizations are accepted into the FWS program only during the summer before each academic year.

Extending an Offer

The level of the position, taking into account the skills necessary to perform a specific job, determines a student's pay rate. All student employees must be paid at least the District of Columbia's minimum wage. As of July, 1 2017, DC minimum wage is $12.50 per hour.  Also, if the student employee is under the age of 18, you will need to obtain a work permit to employ a minor.

Submit the Employer Authorization Form and GW Offer Letter through the online Federal Work Study Off-Campus Hire Form.
